Nursing Playbook / A working session

Build a packet you can account for.

Turn one nursing employer's instructions into a document inventory, with a responsible person, destination and completion evidence for each item.

Original fictional example, followed by your own working copy. About our editorial approach

Start with one application, not every document you own

A packet is ready when its required parts have reached the right destinations, not when a folder looks full. Work from the current posting and its linked instructions. A general residency overview may explain the program without providing the submission rules for your particular role.

This session uses an invented employer and candidate so you can practice the method. Its dates, forms and requirements do not describe a real hospital. Bring your own instructions into the blank worksheet rather than copying the example's requirements.

The working case: Sam's November application

Sam is a fictional final-term nursing student applying to an invented new-graduate posting, requisition NG-104. The exercise instructions require a resume PDF, a placement-history form and one recommendation submitted directly by the recommender. All three must arrive by November 20 at 5 p.m. in the employer's stated time zone. The instructions provide a separate link for the recommendation.

Sam has a current resume draft and a verified placement record. An instructor has agreed to provide the recommendation but has not yet received the link. Sam's first checklist says “resume done, placements done, reference done.” That checklist hides three different states: drafted, source material available and someone agreed to help.

A register that exposes the remaining work

On a narrow screen, scroll the table sideways to read each column.

Item and destinationCurrent evidenceNext action and owner
Resume PDF in application portalEditable draft exists; no export checkedSam exports, opens and checks the actual PDF
Placement-history form in portalProgram record available; form still blankSam transfers verified details into the requested form
Recommendation through separate linkInstructor agreed; link not yet suppliedSam sends instructions; instructor submits directly

Sam records the employer deadline once in the application header and keeps a personal target date beside each next action. The dates in the exercise are not a suggested national nursing application calendar. The appropriate timetable depends on the actual instructions and the people involved.

Notice that the recommendation has two owners for two different actions. Sam can supply the correct link and clarify the deadline. Sam cannot mark the instructor's submission complete just because the request was sent.

Walk through a change before it becomes a crisis

On November 14 in the fictional case, the instructor asks whether the recommendation can be emailed instead. Sam checks the instructions, which specify the separate link. Sam replies with that route rather than choosing a more convenient one without evidence it is accepted.

If the instructions were unclear, Sam would record the question and ask the appropriate employer contact. The unresolved item would stay visible. An unanswered question is not permission to mark a requirement complete.

By November 17, Sam has checked the exported resume and completed the placement form. The portal confirms the application submission but shows the recommendation as pending. The register now says “application submitted; recommendation pending.” This wording preserves both facts. It avoids the false choice between “nothing submitted” and “everything finished.”

Build your own register

Use the free worksheet to record the role, requisition, source and date checked. Copy each requirement in enough detail to preserve its meaning, then assign a destination. Keep employer instructions separate from your own planning choices.

For every item, write what evidence would establish completion. A draft, an uploaded file, a submission confirmation and a portal acknowledgment are different observations. If the employer provides no way to verify a recommender's submission, record that limit and follow its stated process; do not ask for confidential letter contents merely to fill a box.

Next, choose the earliest unresolved dependency. It might be obtaining a record, checking a format or confirming a submission route. Resolve that before spending time polishing a document that may not even be required.

Finish the session with a packet check

Read the register next to the current instructions. Every required item should have a destination, a responsible person and an honest state. Check the actual files using the resume file-check guide. Keep a private copy of the versions submitted and the confirmations available to you.

The worksheet is a local planning document. It does not contact recommenders, synchronize with a portal or establish eligibility. If you need help separating dates, use the calendar guide; if the reference remains unresolved, work through the reference briefing session.
